Why do I need to confirm my notice?

We want to ensure that you stay in contact with your retirement assets and that you are aware of all information related to your account. To do this, you need to confirm receipt of communications from us. This verification process is in line with recommended practices from the Department of Labor, and it helps prevent you from becoming a "Missing Participant" - a term used to describe account holders who lose contact with their assets.

How do I confirm my notice?

Each notice can be confirmed multiple ways.

Notices received by email can be confirmed by opening the email.

Notices received by text message can be confirmed by clicking the confirmation or emailing us at participants@plannotice.com.

Noticed received in the mail can be confirmed by scanning the QR code in the letter, going to the provided address and entering the code or emailing us at participants@plannotice.com.

Will I be charged a fee?

The standard distribution of notices which includes distribution by email, text message, and USPS mail, is covered by plan administrative fees. An additional participant fee may be incurred if the participant is no longer an active employee and does not verify the receipt of required notice. In this case, a fee may be assessed to the participant’s account to cover the expense of locating the participant or the participant’s beneficiary to insure important information is received and the account’s contact information is up-to-date. Why am I getting this notice?

Notices regarding your retirement accounts are sent to detail any changes to the plan or updates on the financial information regarding the plan. These notices communicate information that may have an effect on your current assets or your future contributions. You should review these notices and reach out to the plan’s designated contact for any related questions.

Notices are received by anyone who fits the following criteria:  actively employed and eligible to participate in the retirement plan, currently having assets in the retirement plan no matter if you are currently employed or not, or if you were eligible to participate in the retirement plan during the period that is affected by the notice.

Therefore you may receive notices even if you no longer have assets in the plan or are no longer employed by the sponsoring company.

I confirmed my notice but I received another notice.

Once you have confirmed receipt of your notice, you should not receive additional notification. However, at times, there may be a timing issue. For example, if first-class mail has already been sent prior to you confirming receipt by email or text, you may still receive the notice by mail. If you have confirmed receipt of your notice, it is not necessary to do it a second time.

It is important to note, at times plans may have multiple notices that are sent independently. It is always the best practice for participants to review each communication they receive to confirm if the notice is a duplication or a second notice.

I am no longer employed in the plan why did I get a notice?

Ex-employees may still receive notices. If you still have a balance in the account or if the subject of the notice is relevant to when you were an employee, you may receive communication even after employment has concluded. It is best for you to review the notice to make sure it has no effect on you or any assets you may have in the retirement plan.

I do not contribute to a retirement plan, why am I getting this?

You may receive communication from the company’s retirement if you are eligible to participate even if you are not currently using the benefit. Eligible participants are required to receive information regarding plan to remain up-to-date in case they decide to participate in the future.

I am not eligible to contribute. Why am I getting this…

If you receive a notice and you are not eligible to participate in the plan, you do not have any assets in the plan currently, and you have never had assets in the plan, the notice may be sent to you by mistake. If this criteria fits you, you should contact the plan administrator noted in the notice and confirm the notice can be discarded.

Who We Are and the Purpose of This Disclosure

You are receiving this Fee Disclosure Notice because the sponsor of a 401(k) plan in which you are enrolled has engaged, Plan Notice LLC d/b/a Plan Notice (“Plan Notice”), to assist it in (1) providing required notices to the participants in the plan, (2) ensuring that the plan has current contact information for the participants, and (3) carrying out steps to locate missing participants. As a service provider to your plan, we want you to understand the services that we provide, including our fees and costs. This Fee Disclosure Notice is intended to supplement the annual fee disclosure that you receive from your plan sponsor. We encourage you to review and retain this Fee Disclosure Notice.

Explanation of Fees and Expenses for Plan Participant Location Services

We assist the sponsor of your 401(k) plan in meeting its compliance responsibilities by distributing/disseminating required notices prepared by the sponsor to the participants in the plan and in locating participants with whom the plan is having difficulty communicating (“missing participants”). We provide our services to all plan participants, in which we disseminate plan notices and verify participant contact information for non-active (i.e., terminated) participants in the plan. Your plan sponsor has selected this service. Our fees are charged directly to participant accounts in the plan.

For the plan and its participants our administrative fee is provided at $2.00 per quarter per participant. Basic Administrative represents disseminating plan notices and verifying participant contact information via the contact information currently provided to the Plan. Separately, Plan Notice charges fees to assist the plan in locating missing participants who are not actively employed with the plan sponsor. Specifically, when a participant does not verify his or her contact information when contacted, we conduct outreach efforts on behalf of the plan in order to ensure that the plan has current contact information for its participants.

We conduct two different phases of searches for missing participants who are not actively employed with the plan sponsor. In Phase 1, after we have completed the Basic Administrative process where we distribute notices based on the current information provided by the participant, we seek to locate these participants via use of national databases to find additional or better contact information for the participant and then sending additional email, first-class mail, phone calls, social media direct messages, and certified mail, as necessary. If those efforts are unsuccessful, we then conduct a Phase 2 search by seeking to contact the missing participant’s designated beneficiary(ies) under the plan using the same outreach methods as Phase 1.
